Let the buyer choose a showing time while you are away

The AI lead manager checks the assigned agent's calendar, offers available times as buttons and books the buyer's choice. Once the calendar confirms, the showing appears in your panel and the agent's calendar, with reminders the day before and two hours before when booked ahead of those times.

What your team does

  1. Connect the agent's calendar

During setup we connect each agent's online calendar, with permission to see free and busy times and to add showings. The assistant then checks the assigned agent's availability rather than guessing a time.

  2. Watch the confirmation

The buyer chooses a time; the assistant checks contact information and confirms only after the calendar accepts the booking.

  3. Prepare for the showing

The agent sees the showing and buyer details. Reminders follow in the buyer's language.

  4. Handle exceptions

Take over with one tap if no time works, confirmation is uncertain or the buyer needs to change the showing.

What it doesn't do

  • It cannot guarantee a time that the calendar has not confirmed.
  • Changing or canceling an existing confirmed showing is coordinated by an agent.
  • It needs the buyer's name and a phone number or email before confirming.

Questions about this workflow

Which calendars does it work with?

Each agent needs an online calendar we can connect during setup, with permission to read free and busy times and to add events. Tell us on the first call which calendar your agents use, and we'll tell you whether it can be connected.

Where do reminders arrive, and in which time zone?

By text message when the buyer agreed to receive texts and the text is sent; otherwise it is posted in the conversation where they booked, and the buyer sees it the next time they open that conversation. Reminders are written in the buyer's language and give the time in the agency's local time.

What if none of the offered times works for the buyer?

The buyer can ask for another day. If no suitable time is available, an agent takes over to arrange it.

What if someone else books that time first?

The calendar can reject the occupied time. The assistant does not mark it confirmed; the buyer needs another available time.

Does a last-minute booking receive both reminders?

No. A reminder is scheduled only when the showing was booked before that reminder's due time. It does not send a day-before reminder after that time has passed.
